ROLE SUMMARY: The Specialist, Bookings supports the Concerts & Entertainment team with a primary focus on the Beacon Theatre and related theatres in the MSG portfolio. This role assists the Senior Director of Bookings in all aspects of event planning, client relations, and execution of Beacon Theatre events. The Specialist plays a key role in managing event logistics, maintaining promoter and agent relationships, supporting deal negotiations, and ensuring the smooth coordination of events. The position requires self-starter mentality, strong organizational and communication skills, a deep understanding of departmental operations, and the ability to work independently under limited supervision.
SPECIFIC FUNCTIONS/ACTIVITIES SUMMARY:
- Provide day-to-day support to the Senior Director of Bookings, including calendar management, correspondence, expense reports, and ticket requests.
- Serve as a primary liaison between MSG Entertainment and promoters, agents, and managers to ensure event needs are met from booking through post-show wrap-up.
- Coordinate with internal departments — including Legal, Finance, Marketing, Ticketing, Operations, and Production — to support all phases of event development and execution (holds, offer letters, contracts, budgets, invoicing, and settlements).
- Manage and maintain departmental records, show files, and reporting systems to ensure timely and accurate documentation.
- Oversee and update the Salesforce venue calendar, ensuring information is accurate, current, and properly communicated to stakeholders.
- Prepare and track contracts, amendments, and related financial documentation, ensuring compliance with company policies and timelines.
- Compile and analyze booking data to support strategic planning, event forecasting, and venue utilization
- Facilitate communications between MSGE and Promoters of events, including production-related needs and issues, and ancillary/sponsor needs. Manage post-production wrap-up and coordination, correspondence, etc.
- Assist the Senior Director of Bookings as a liaison between MSG Entertainment and promoters/agents/managers to ensure event needs are met.
- Provide on-site event support as needed, including client relations, troubleshooting, and coordination during show days.
- Compose and edit correspondence, reports, itineraries, and memos — including confidential and sensitive materials — with accuracy and discretion.
- Contribute to ongoing process improvements to streamline department operations and enhance promoter and partner satisfaction.
QUALIFICATIONS:
- 2-3 years’ experience in booking or talent buying space, venue promoter experience preferred.
- Proficiency in Microsoft Office Suite; familiarity with Salesforce is strongly preferred
- Excellent written and verbal communication skills with the ability to interact effectively across all levels of management and external partners.
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Strong analytical and problem-solving skills with sound judgment and follow-through.
- Ability to maintain a high level of confidentiality and professionalism.
- Availability to work nights, weekends, and event hours as required.
- Strong negotiating and conflict resolution skills
