Who are we hiring?   

The Executive Assistant, reporting to the SVP, Chief of Staff, supports the Executive Chairman’s Office to ensure seamless operations and drive follow-through on high-priority initiatives. This role manages the executive office calendars and workflow, handles sensitive information with discretion, and translates leadership priorities into coordinated action across the enterprise. The Executive Assistant is highly organized, strategically minded, and thrives in fast-paced, high-visibility environments.  

What will you do?    

  • Support the Chief of Staff in driving the chairman’s office priorities, ensuring alignment across strategic initiatives, operating rhythms, and enterprise goals.  
  • Partner with Executive Assistants and cross-functional leaders to enable seamless communication and ensure leaders have the information needed to support the Chief of Staff and Executive Chairman.  
  • Oversee executive office operations, including calendar governance, meeting preparation, communication flow, and information management.  
  • Prepare, synthesize, and manage executive-level materials—briefings, agendas, presentations, and communications—translating complex information into clear, decision-ready insights.  
  • Support executive meetings, offsites, and board-related activities by coordinating planning, logistics, and follow-through actions.  
  • Track key initiatives, milestones, and commitments; drive follow-through and surface risks, dependencies, and bottlenecks early to the Chief of Staff.  
  • Act as a connector between executives, teams, and stakeholders to keep priorities aligned and work moving smoothly.  
  • Coordinate logistics for meetings, special events, and personal projects; proactively anticipate needs, resources, and materials.  
  • Manage shifting priorities and tight deadlines with agility, anticipating last-minute changes and maintaining contingency plans.  
  • Prioritize functions and appointments to ensure the Executive Chairman’s schedule and responsibilities run seamlessly.  
  • Foster a high-touch, collaborative team environment that promotes strong communication, cooperation, and alignment.  
  • Stay informed on internal and external developments to enhance the efficiency, responsiveness, and proactivity of the Chairman’s office.  
  • Handle sensitive, confidential, and high-impact matters with the highest level of discretion and sound judgment.  
  • Support special initiatives requiring executive-level visibility and coordination, serving as a trusted delegate for the Chief of Staff when needed.  

What do you need to succeed?    

  • Associate or bachelor’s degree preferred.  
  • 8+ years supporting senior executives in complex, high-visibility environments, managing business and personal priorities.  
  • Strong strategic and critical thinking with the ability to anticipate impacts and implement solutions across multiple initiatives.  
  • Expert in calendar and schedule management, adept at balancing competing priorities and complex logistics.  
  • Proficient in Microsoft Office (especially Outlook) and enterprise communication systems such as Cisco.  
  • Exceptional written and verbal communication skills, with the ability to engage effectively across all levels of the organization.  
  • Ability to handle highly confidential and proprietary information with discretion.  
  • Skilled at synthesizing complex information and providing clear, decision-ready insights to leadership.  
  • Thrives in fast-paced, dynamic environments while maintaining composure and adaptability.  
  • Highly organized, detail-oriented, and able to manage multiple priorities simultaneously.  
  • Demonstrates energy, initiative, resilience, tact, and professionalism in all interactions.  

 

Special Requirements  

  • Occasional travel required to support the Chairman’s office.   
  • Complete schedule flexibility and accessibility to respond to as needed, including nights, weekends, and holidays.   
  • Must be willing to sign a Non-Disclosure Agreement (NDA)

Pay Range
$190,000$220,000 USD
